Full-time and Exempt Position in Phoenix, AZ
Compensation: up to $ 145,000 plus bonus opportunity.
Job Summary: We are seeking a Chief Operating Officer to lead our nonprofit organization into an exciting new chapter! We are planning to acquire a new facility and need a dynamic leader to manage this effort while maintaining operational excellence across the organization.
This leadership role combines strategic oversight with hands-on management of operational systems. The initial focus will be managing the acquisition, development, and transition to a new facility. In addition to facility operations, the role will expand to oversee all operational components, including finance, IT, compliance, and staff support systems, ensuring alignment with the nonprofit’s mission to provide inclusive, equitable healthcare.

What You’ll Do:
- Facility Acquisition and Transition Management (Initial Focus):
- Lead the building acquisition process, including site selection, contract negotiation, financial analysis, and compliance with local, state, and federal regulations.
- Develop and execute a detailed project timeline, cost analysis, and budgets for facility design, renovations, and operational readiness.
- Collaborate with architects, contractors, and vendors to ensure projects are delivered on time and within budget.
- Create a comprehensive transition strategy to relocate staff, patients, and operations while minimizing disruption.
- Coordinate with realtors and legal advisors to negotiate sublease opportunities and exit strategies for existing leases (if applicable).
- Strategic Operational Leadership:
- Partner with the CEO and Medical Director to develop and implement scalable operational strategies that support the nonprofit’s mission and long-term goals.
- Collaborate with the CEO and Medical Director to establish and track key performance indicators (KPIs) for facility performance, operational efficiency, and patient satisfaction.
- Promote a culture of continuous improvement by leveraging data and best practices to optimize processes.
- Attend Board of Directors meetings in conjunction with the CEO and Medical Director, reporting on various operational projects as required.
- Facility Management:
- Ensure all facilities are safe, compliant, and welcoming for patients and staff.
- Implement preventative maintenance programs and manage vendor relationships for facility services, including utilities, janitorial, and security services.
- Oversee facility audits to ensure adherence to healthcare-specific building codes and safety standards.
- Financial Oversight:
- Manage budgets with the Head of Finance for facility operations and the building transition project, ensuring financial targets are met.
- Analyze financial data and recommend cost-saving initiatives without compromising service quality.
- Collaborate with the finance team to ensure rigorous budget planning and reporting.
- Team Leadership and Development:
- Build and lead a multidisciplinary operations team, fostering collaboration, accountability, and a focus on patient-centered care.
- Provide training and development opportunities to support team growth and alignment with organizational goals.
- Serve as a mentor and role model, promoting diversity, equity, and inclusion within the workplace.
- Additional Operational Responsibilities:
- Alongside the facility transition, work with the CEO to expand your operational role, enhancing efficiency across all organizational functions to support long-term growth and sustainability.
Operational Process Optimization:
- Design and implement scalable operational frameworks to support future growth and enhance cross-departmental collaboration.
- Oversee the integration of technology solutions across finance, IT, compliance, patient support services, programs, and funding to streamline workflows, reduce manual processes, and improve data accessibility.
- Develop and enforce comprehensive standard operating procedures (SOPs), in collaboration with the CEO and Medical Director, to ensure consistency, compliance, and efficiency in all operations.
Patient Flow and Resource Optimization:
- Partner with the Medical Director to develop forecasting tools (using advanced data analytics) to monitor patient demand, optimize scheduling, and reduce wait times.
- Partner with the Medical Director to oversee resource allocation strategies to maximize clinic capacity while maintaining the highest standards of care.
- Collaborate with clinical teams to create seamless patient experiences by aligning operational processes with clinical workflows.
Strategic Partnerships and Community Engagement:
- Forge and strengthen partnerships with vendors, community organizations, and healthcare stakeholders to enhance service delivery and operational resilience.
- Negotiate and manage vendor contracts to ensure cost-effective procurement of goods and services while maintaining quality.
- Act as a representative of the nonprofit in community forums and industry events to build relationships that advance the organization’s mission.
Continuous Improvement and Innovation:
- Foster a culture of continuous improvement by empowering staff to contribute ideas and participate in process optimization efforts, as well as leading collaborative process improvement initiatives across the organization.
Performance Management and Metrics:
- Establish and monitor operational KPIs across all departments to ensure alignment with organizational goals and drive data-informed decision-making.
- Conduct regular performance reviews and operational audits to identify areas for improvement and track the success of implemented initiatives.
- Build dashboards and reporting tools to provide real-time insights into operational performance and patient satisfaction metrics.
Leadership and Staff Development:
- Act as a strategic mentor and coach for department leaders, guiding them in implementing best practices within their teams.
- Create and oversee professional development programs to cultivate leadership talent and operational excellence across all levels of the organization.
- Promote an inclusive workplace culture where diversity, equity, and innovation are prioritized in all operational activities.
Technology and Digital Transformation:
- Evaluate emerging technologies and implement solutions that enhance patient care, operational efficiency, and data security.
- Oversee the transition to electronic health records (EHR) or other IT systems, ensuring seamless integration with current workflows.
- Introduce automation tools to improve operational efficiency, including resource scheduling, inventory management, and compliance tracking.
What You’ll Need:
- Bachelor’s degree in operations management, Business Administration, or a related field; a Master of Business Administration (MBA) is highly desirable.
- A minimum of 8 years of progressive leadership experience in healthcare operations, with demonstrated expertise in facility management and building transitions.
- Proven success in managing complex projects, including construction, lease negotiations, and operational transitions.
- Strong financial acumen and experience managing budgets for large-scale projects.
- Exceptional leadership and team-building skills, with a commitment to diversity, equity, and inclusion.
- Excellent problem-solving, communication, and negotiation skills.
- Knowledge of healthcare regulations, building codes, and safety standards.
- Certification in Lean Six Sigma or equivalent process improvement methodologies is preferred.
